YourHomeDesk Privacy Policy
Effective date: September 29, 2026
This policy explains what YourHomeDesk LLC ("we", "us") collects when you use yourhomedesk.com, how we use it, who helps us process it, how long we keep it, and the choices you have. The short version: your home records are private by default, and we do not sell your information or use it for advertising. You can export your records at any time, and you can delete your account once any paid subscription has ended (section 6). Documents you save to your home record are kept while your account is active; files uploaded only for a quote or project review are kept for 30 days (section 5).
1. What we collect
- Account details. Your email address, display name, and sign-in and security information such as passkeys and verification events.
- Home records you add. Property details, home systems and equipment, maintenance history, projects, tasks, important dates, warranties, contractor and cost information, and notes.
- Files you upload. Quotes, receipts, invoices, warranties, manuals, permits, photos and similar documents. How long originals are kept depends on where you save them (section 5).
- Text you paste for AI organization. It is used for that task and then discarded.
- Sharing and household information. Who you invite, their role, and the share links you create.
- Billing information. Your plan, billing history and subscription status. Card details are collected and stored by Stripe, our payment processor. We never see or store your full card number.
- Consent and deletion records. Minimal records of what you agreed to and when you asked for deletion.
- Security and operational logs. Such as sign-in events, request records and error reports, used to protect and run the service.
We do not use advertising trackers, and we do not sell or rent your personal information.
2. How we use it
- To provide your private home record, and the features you use, such as organizing documents, answering questions from your records, and comparing quotes.
- To let the people you choose view or edit your home, and to show shared links you create.
- To process payments and manage your subscription.
- To send service emails, such as sign-in codes, reminders you set up, and account or billing notices.
- To keep the service secure, including scanning uploads for malware, preventing abuse, and investigating problems.
- To understand whether the service is working, using deidentified measurements.
- To comply with law and enforce our Terms of Service.
3. Automated processing and AI
Automated software, including AI models, reads the information you provide to extract details, organize records, answer questions and compare options. It works only on the information needed for the task you asked for. It may make mistakes, so you review extracted details before they are saved to your records. AI models run on Cloudflare's infrastructure. Separately, when you add a photo of an equipment label (for example a water heater or furnace rating plate), the image may be sent to Amazon Textract, an AWS text-recognition service in the United States, to read the text on the label; HEIC photos are converted to JPEG first. We do not use your content to train AI models.
4. Who we share it with
People you choose. Household members you invite, and anyone you send a share link to, can see what you give them access to. Share links show selected project information only, not original files, and you can revoke them.
Home handoffs. If you create a handoff link for the next owner of a home, the recipient gets a copy of the sections you choose, without your private notes. Handoff links expire and can be withdrawn before use. Once imported, the copy is part of the recipient's account and is covered by their use of the service; deleting your account does not delete it.
Service providers that process data for us, only as needed to run the service:
| Provider | What they do for us | Data involved |
|---|---|---|
| Cloudflare | Hosting, database, file storage, AI processing, malware scanning, image conversion | All service data |
| Amazon Web Services (Cognito, SES, Textract), US | Sign-in and account security; sending service emails; reading text from equipment-label photos | Email, display name, sign-in and security events; email content; equipment-label images and the text read from them |
| Stripe | Payments and subscription billing | Name, email, payment details, billing history |
Legal reasons. We may disclose information if required by law, or to protect the rights, safety or property of our users, the public or YourHomeDesk.
Business transfer. If YourHomeDesk LLC is sold or merged, your information may transfer to the new owner under this policy. We will tell you before it does.
We do not sell leads, share your information with contractors for marketing, or receive payment for introductions.
5. How long we keep it
| Information | How long |
|---|---|
| Text pasted for AI organization | Discarded after processing |
| Documents and photos saved to your home record (warranties, manuals, invoices, receipts, permits) | While your account is active, including the 30-day export period after a plan ends |
| Files uploaded only for a quote or project review, and completed review working records. The details you confirm from them stay in your records. | 30 days from upload |
| Unfinished project reviews | Deleted after 90 days without activity |
| Home records, final decision records, tasks and warranties | While your account is active |
| Accounts whose paid plan has ended | Permanently deleted shortly after the 30-day export period |
| Security and operational logs | 90 days |
| Consent and deletion receipts (no uploaded content) | 3 years |
| Deidentified usage measurements | 12 months |
| Minimal billing records (dates, amounts, invoice and payment IDs; no card numbers or home records) | 3 years from the end of the tax year of the payment, even after account deletion |
| Inactive accounts | May be deleted after 12 months without activity, after 30 days' email notice |
When you delete your account, we remove your data from our active systems promptly, except the minimal billing records listed above, which keep no link to your identity or home records. Database recovery history held by our hosting provider may keep a copy for up to 30 days before it ages out. A background job then asks Stripe to delete your customer record, normally within minutes, and retries later if Stripe is unavailable. Stripe keeps its own record of past payments and charges, which deleting the customer does not erase. Copies you handed off to another person's account are not deleted. If we are legally required to keep specific records, such as for an active dispute or legal hold, we keep only those, only until the requirement ends.
When a paid plan ends, the account owner has 30 days of read-only access to download their records. Shortly after that period ends, we permanently delete the account as described above.
6. Your choices and rights
- Access and export. Download a backup of your records from your account at any time.
- Correction. Edit your records and account details in the app, or ask us to.
- Deletion. Delete individual documents or projects, or permanently delete your whole account from your account settings once your paid subscription has ended, including during the 30-day export period. Deleting then ends the export period immediately, so download what you need first. While a subscription is active, set to cancel, or has an unresolved payment, cancel or resolve it first.
- Sharing. Remove household members and revoke share links at any time.
- Emails. Turn off optional reminder emails in your settings. Required service and billing notices still go out while you have an account.
You can also email support@yourhomedesk.com with any request. We may need to verify that it's you. We will respond within 30 days. We offer these choices to all users, wherever you live.
7. Cookies
We use only cookies needed to run the service: to keep you signed in, complete sign-in securely, remember your email address for sign-in, and remember which home you are viewing. We do not use advertising or third-party analytics cookies. Because we do not track you across other sites, we do not change our practices in response to browser "Do Not Track" signals.
8. Security
We protect your information with signed-in access, owner-scoped records, encryption in transit and in storage, private non-cached downloads, upload validation and malware scanning, audit records and request limits. No system is perfectly secure. If a breach affects your personal information, we will notify you as required by law.
9. Children
YourHomeDesk is for adults 18 and over. Account holders and household members must be adults; we do not knowingly collect information from children under 13 as users. Your home records may mention children in your household, for example in documents you upload. That information is treated like the rest of your records: private to you and the people you share with. If you believe a child has given us information, contact us and we will delete it.
10. Where your data is processed
We are based in the United States. Our providers may process data in the United States and in other countries where they operate data centers.
11. Changes to this policy
We will post updates here with a new effective date. For material changes, we will email the account owner before they take effect.
